Where do I find my Cal.com API key?
Go to cal.com/settings/developer/api-keys, click Add, give it a name (e.g. "Xero integration"), and copy the key. Paste it into the "Auto-configure" field in step 1 of onboarding — Conduit will create the webhook for you with the correct trigger and URL.
What's the difference between auto-configure and manual setup?
Auto-configure uses your Cal.com API key to create the webhook for you — no manual steps needed. Manual setup is for when you'd rather create the webhook yourself: copy the webhook URL Conduit gives you, paste it into Cal.com under Settings → Developer → Webhooks → New webhook, enable the BOOKING_PAIDtrigger, then copy the webhook secret back into Conduit. Both end up in the same place — pick whichever you're more comfortable with.
What permissions does Conduit need in Xero?
When you connect Xero, you'll be asked to authorise read/write access to invoices and contactsonly. Conduit doesn't request access to anything else in your organisation.
What's the "Bank account code" for, and which one should I use?
This is the Xero account where individual booking payments are recorded against the invoice — usually a Stripe clearing or undeposited funds account, not necessarily the actual bank account your processor pays into. If you're not sure which code to use, ask your accountant or bookkeeper; getting this right makes reconciling your Stripe/Cal.com payouts against Xero much easier later.
What's the difference between "tax inclusive" and "tax exclusive"?
This should match how your Cal.com event is priced. If the price your customer pays already includes GST/VAT (the most common setup), choose Inclusive. If tax is calculated and added on top of your listed price, choose Exclusive. Picking the wrong option will make your invoice totals not match what the customer actually paid.
Do I need to set a tax type?
Tax type is optional — leave it blank if you don't charge tax, or if you'd rather have Xero apply the default rate for the account code you've chosen. If you do set one, use the Xero tax type code for your region (for example OUTPUT2 for 15% GST in New Zealand). You can find the codes for your organisation under Xero → Accounting → Advanced → Tax rates.
How it works
When does Conduit create an invoice?
Whenever Cal.com sends a BOOKING_PAID webhook event for one of your bookings, Conduit creates a matching invoice in your connected Xero organisation automatically — using the account codes, due days, and tax settings you configured during setup.
Why hasn't an invoice appeared for a booking I know was paid?
First check your dashboard for any warning banners — a paused sync or a Xero reconnection notice will stop new invoices from being created until resolved. If everything looks connected, confirm the webhook is still active in Cal.com under Settings → Developer → Webhooks with the BOOKING_PAID trigger enabled, and that the URL matches the one shown on your dashboard. If it all looks correct and the invoice still hasn't appeared, email us at support@conduit.samcorp.co.nz with the booking details and we'll take a look.
What happens if I change the booking form fields in Cal.com?
Conduit detects when the fields on your Cal.com booking form change and pauses invoice sync so nothing gets created with mismatched data. Paid bookings are queued in the meantime — you'll see a banner on your dashboard listing what changed. Conduit always maps the customer's name, email, and phone from Cal.com's standard field keys regardless of other changes, so in most cases you can simply review the notice and click Resume to process the queued bookings.
Troubleshooting
My dashboard says "Reconnect required" next to Xero — what do I do?
This means Conduit's access to your Xero organisation has expired or been revoked (Xero connections need to be refreshed periodically, and disconnecting Conduit from within Xero will also trigger this). Go to your dashboard, click Configureunder the Xero card, and reconnect — you'll be sent through the same authorisation flow as during setup. No invoices will be created while the connection is down, but nothing already created is affected.
How do I disconnect Xero or Cal.com?
To disconnect Xero, use the Disconnect button on the Xero card on your dashboard. To stop Cal.com bookings from reaching Conduit, delete the webhook from Cal.com → Settings → Developer → Webhooks. Disconnecting either one pauses invoice creation — your existing data and settings are kept, so reconnecting picks up right where you left off.
Can I change my account codes or invoice settings after setup?
Yes — your revenue account, bank account code, due days, tax type, and tax treatment can all be updated at any time from the Configure link on the Xero card on your dashboard. Changes only apply to invoices created after you save them; existing invoices in Xero are not modified retroactively.
Billing
How does the free trial work?
Every account starts with a 14-day free trial — you won't be charged until it ends, and you can cancel any time before then with nothing taken from your card. You can complete the full setup and see invoices being created during your trial.
How do I update my payment method, view invoices, or cancel?
Click Manage billingon your dashboard — this opens Xero's billing portal where you can update your card, download past invoices, change plans, or cancel your subscription. Changes take effect immediately and don't require contacting us.
What happens to my data if I cancel?
Cancelling stops new invoices from being created, but your settings, connections, and invoice history are kept. If you resubscribe later, everything picks up where you left off.
